PGfy e-Agreement for PGs, Flats, Rooms & Rental Properties

Create, e-Stamp and eSign your accommodation agreement digitally

Renting a PG, hostel, room, flat or co-living space traditionally involves paperwork, physical signatures, stamp papers and repeated follow-ups.

PGfy e-Agreement brings the agreement process into one digital workflow.

From creating the agreement to completing applicable e-stamping and electronic signing, PGfy helps tenants and property managers manage their accommodation documents digitally.

One digital journey

Agreement Creation → e-Stamping → eSign → Completed Agreement → Digital Record

What is an e-Agreement?

An e-Agreement is an agreement created, processed and executed electronically instead of relying entirely on physical paperwork.

For PG and rental accommodation, an e-Agreement can contain the terms agreed between the tenant and property owner/property manager, including:

  • Tenant information
  • Property details
  • Room/bed details
  • Rent
  • Security deposit
  • Agreement period
  • Notice period
  • Payment terms
  • Utility charges
  • House rules
  • Move-in and move-out conditions
  • Other applicable terms

Depending on the agreement and applicable law, the document can then go through the required stamping, signing and registration processes.

How PGfy e-Agreement Works

Step 1 — Select your accommodation

Start by selecting the accommodation you are taking.

PGfy can support:

  • PGs
  • Hostels
  • Private rooms
  • Shared rooms
  • Flats
  • Shared flats
  • Co-living properties
  • Other rental accommodation

Step 2 — Enter tenant and property details

The required information is collected digitally.

Tenant details

  • Full legal name
  • Contact information
  • KYC information
  • Permanent address
  • Other required details

Property details

  • Property name
  • Property address
  • Owner/property manager
  • Room/bed number
  • Occupancy type

Commercial details

  • Monthly rent
  • Security deposit
  • Maintenance charges
  • Utility charges
  • Other applicable fees

Step 3 — Generate the agreement

PGfy generates the agreement based on the information and terms provided by the parties.

The agreement can include property-specific terms and conditions.

The tenant and property manager should carefully review the document before proceeding.

Step 4 — Review the Agreement

Before signing, the tenant should verify:

Tenant Name | Property Address | Room / Bed | Monthly Rent | Security Deposit | Agreement Duration | Notice Period | Refund Conditions | Additional Charges | Property Rules | Other Terms

If any information is incorrect, it should be corrected before the agreement is finalised.

Step 5 — e-Stamping

Where applicable, the agreement can proceed through the authorised electronic stamping process.

The applicable stamp duty is determined according to the relevant State/UT rules, document type, duration, rent, deposit/advance and other applicable factors.

PGfy can display the government component separately from PGfy's service charges.

Example

Government Stamp Duty ₹XXX
Registration Fee ₹XXX
PGfy Service Fee ₹XXX
Total ₹XXX

This provides transparency to the tenant and property manager.

Step 6 — eSign

After the agreement has been prepared and the applicable stamping requirements have been completed, the parties can proceed with electronic signing.

Where Aadhaar/e-KYC-based eSign is available, the signer can authenticate themselves using the applicable authentication process and electronically sign the document.

A simplified signing journey can be:

Review Agreement ↓ Choose eSign ↓ Aadhaar / e-KYC Authentication ↓ OTP / Authentication ↓ Consent to Sign ↓ Electronic Signature ↓ Signed Agreement

The actual authentication and signing process depends on the authorised eSign service used.

Step 7 — Agreement Completion

After all required parties complete their respective signing steps, the completed agreement can be made available digitally.

The final document may contain information associated with:

  • Electronic signatures
  • Signing date and time
  • Signature certificate
  • Authentication information
  • Document integrity information
  • Audit information

The exact information depends on the signing service and implementation.

Step 8 — Digital Document Storage

The completed agreement can be associated with the relevant tenant and property record.

For a property manager, this can make it easier to find:

Property → Room → Bed → Tenant → Agreement

instead of searching through physical files.

For tenants, it provides easier access to their important accommodation documents.

  • eSign: Digitally sign the agreement.
  • Receive: Access your completed agreement digitally.

PGfy e-Agreement for Property Managers

Property managers can manage the agreement lifecycle from their digital property-management workflow.

  • Review: Verify tenant and property information.
  • e-Stamp: Complete applicable government stamping.

  • Store: Keep the completed agreement associated with the tenant/property record.

What Makes PGfy e-Agreement Different?

PGfy is designed specifically around the accommodation lifecycle.

A generic document-signing platform may start with: Upload Document → Add Signers → Sign

PGfy can start much earlier:

Property → Room → Bed → Tenant → KYC → Agreement → e-Stamp → eSign → Move-in

This connects the agreement to the actual accommodation transaction.

One Platform for the Tenant Lifecycle

PGfy can connect documentation with other accommodation processes.

Before Move-in

Discovery → Booking → KYC → Agreement → e-Stamp → eSign → Payment

During Stay

Rent → Receipts → Complaints → Visitors → Communication → Documents

Move-out

Notice → Final Settlement → Deposit Adjustment → Move-out → Agreement Records

This creates a digital record across the tenant's accommodation lifecycle.

e-Agreement vs e-Stamp vs eSign

These terms are often confused.

Term What it means
e-Agreement The overall electronic agreement/document workflow
e-Stamping Electronic process for applicable stamp-duty payment
eSign Electronic signing of the document
Registration Separate legal process where registration is required
Notarisation Separate notarial process where applicable

In simple terms:

e-Agreement = The digital document
e-Stamp = Stamp Duty
eSign = Signature
Registration = Separate legal registration
Notarisation = Separate notarial act

One does not automatically replace the others.

Is an e-Agreement Legally Valid?

An electronically created agreement can have legal recognition, but legal validity and enforceability depend on the applicable law, document type, execution process and circumstances.

Depending on the agreement, additional requirements may apply, including:

  • Applicable stamp duty
  • Proper execution
  • Electronic signature requirements
  • Registration
  • Notarisation
  • State-specific requirements
  • Other statutory formalities

Therefore, PGfy does not represent that simply creating an electronic document automatically makes every agreement legally valid, registered or notarised.

Does PGfy Provide e-Notary?

e-Agreement, e-stamping and eSign should not be confused with notarisation.

Where notarisation is legally required, it must be completed through the applicable authorised notarial process.

PGfy's digital agreement workflow can facilitate the electronic documentation journey, while registration and notarisation requirements remain subject to applicable law.

Transparent Agreement Charges

PGfy believes tenants should clearly understand what they are paying for.

A typical checkout can display:

Charge Amount
Government Stamp Duty ₹XXX
Government Registration Fee ₹XXX
eSign / Signing Charge ₹XX
PGfy e-Agreement Service ₹XX
Total Payable ₹XXX

Government charges should be clearly separated from PGfy's own service charges.

Example: A Tenant Moving to a PG

Imagine Rahul is moving from Chennai to Bengaluru for work. He selects a PG on PGfy.

Day 1

PG Selected ↓ Bed Booked ↓ KYC Completed ↓ Agreement Generated ↓ Rent & Deposit Verified ↓ Applicable Stamp Duty Calculated ↓ e-Stamp Completed ↓ Agreement Reviewed ↓ Aadhaar/e-KYC eSign Completed ↓ Property Manager Signs ↓ Completed Agreement Available ↓ Rahul Moves In

The entire documentation journey can be managed digitally instead of coordinating physical paperwork between the tenant and property manager.

The future of renting is not simply about finding a property online.

It is about digitising the complete journey:

Discover → Book → Verify → Agree → Stamp → Sign → Pay → Move In → Stay → Move Out

PGfy e-Agreement brings the agreement stage into this connected accommodation ecosystem.

  • For tenants: Your agreement, without the paperwork.
